Throughout my career, I worked on several geographically dispersed teams spread across multiple continents. A recurring pattern I ran into was that regular team syncs almost always favored one primary office or time zone. As a result, the exact same folks in APAC or EMEA ended up taking calls at 6 AM or 11 PM week after week.
Microsoft’s workplace research highlights that after-hours meetings have steadily climbed, and meeting fatigue is a massive drain on team morale when the inconvenience falls entirely on one group.
To try to solve this, I built Global Meeting Scheduler, a lightweight Outlook add-in. Instead of keeping a recurring meeting pinned to one static time slot, it automatically rotates the meeting time across scheduled intervals. The goal is simple: share the time-zone burden fairly across the entire group rather than penalizing the same region every time.
I recently launched an open beta and would genuinely appreciate feedback from anyone managing or working within multi-region teams.
You can check it out or test the beta here: https://tzplanner-outlookaddin.mjfnet.com/
Curious how other distributed teams currently handle this—do you manually shift slots, rely strictly on async updates, or stick to a single compromise time?
